Enterprise Holdings' Corporate Employee Benefits Department has an immediate opening for an International Benefits Specialist reporting to our International Benefits Manager, and will be based at our European Head Office in Egham, Surrey.

 

In this role you will manage benefit vendor relationships and benefit plans in in the U.K., Ireland, Germany, France, Spain, China, Brazil, Australia, and other countries.  Additionally, you will be responsible for explaining and interpreting the company’s employee benefit programs.  This is an excellent opportunity to develop a strong working knowledge of the administration, design, and implementation of employee benefit programs.

Responsibilities

Benefits Administration

  • Identify, recommend, and implement ongoing improvements to processes, wellness initiatives, plan design, plan utilisation reporting, eligibility files, the Hub and internet, and vendor website content
  • Interpret and explain the company’s employee benefit programs; respond to administrative and policy questions; provide support during annual enrollment
  • Research health and welfare benefits in new countries, document requirements and processes to implement benefits
  • Investigate and respond to benefits-related questions/requests from the Groups in a timely and thorough manner
  • Approve administrative appeals as necessary; research and document administrative appeals in a timely manner and perform detailed research
  • Manage benefits transition of all HCCP/expatriate employee transfers from country to country; coordinate with HRIS and Benefits Central teams; may communicate home/host country benefits to transferring employees, answer questions/provide support
  • Manage annual enrollment process with HRIS, IT, Xerox; including revision of functional specifications, testing, and communications to HR and employees
  • Troubleshoot benefits administration/processing issues in the HR Management System and working with HRIS, IT, and group HR to correct

Benefits Management

  • Prepare semi-annual vendor statistic reports and present to department management
  • Monitor, analyse and provide recommendations for process efficiencies and enhancements of health and welfare benefit plans
  • Develop, evaluate, and recommend procedures for auditing benefit plans
  • Create and maintain documentation of compliance procedures, and demonstrate a proactive plan to meet requirements and deadlines
  • Collaborate with vendors and Employee Benefits Communication and analyst teams to develop and enhance communication materials (SPDs, tip sheets, enrolment materials, direct mail campaigns, vendor websites, the HUB, and various other communications to employees)
  • Document and submit necessary information/data for contract/compliance database

Vendor Management

  • Establish and maintain strong partnerships with benefit vendors/insurers
  • Develop agendas, coordinate schedules, facilitate both internal and external meetings, develop/maintain action plans with vendors, document meeting minutes
  • Develop, document and monitor plans to ensure vendor contractual obligations are being met
  • Review and analyse vendor performance guarantees where applicable, recommending adjustments when appropriate; develop and establish benchmarks; hold vendor(s) accountable for meeting performance expectations
  • Analyse plan utilisation, identify trends and propose recommendations for cost savings and improvement plan performance
  • Develop and monitor implementation plan for new benefit plans and vendors; lead/assist implementation meetings with vendors
  • Coordinate and analyse contract renewals; compile/reconcile annual census data, maintain contract documentation
  • Develop, maintain, and analyse existing internal and external reports, including utilisation/audit reports and comparison surveys; work with analysts to recommend changes
  • Perform detailed review and approval of vendor invoices identifying questionable items
  • Perform detailed review and analysis of vendor plan design documents, and the Summary Plan Description identifying and resolving any discrepancies between the documents
  • Perform periodic scheduled reviews of vendor websites to confirm functionality and accuracy of information
  • Investigate and respond to escalated employee claim and benefit issues

Miscellaneous

  • Maintain confidentiality of employee and benefits data including safeguarding Protected Heath Information (PHI)
  • Create and maintain Benefits Reference Guides for all countries
  • Prepare meaningful monthly reports of projects, accomplishments, and other items deemed important
  • Exercise good judgment in keeping manager informed on situations affecting the plans, vendors, compliance, and legislation

Qualifications

  • Experience within International Benefits support
  • Project management skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook) required
  • Strong customer service and follow-up skills with the ability to exercise sound judgment, demonstrate flexibility, implement, and administer effectively in all areas of benefits administration
  • Ability to work independently in a fast-paced environment, handle multiple tasks and effectively prioritize with limited supervision
  • Excellent organisational skills with strong attention to detail
  • Strong written and verbal communication skills with an ability to communicate effectively and develop positive working relationships with both internal customers and external vendors
  • Ability to maintain confidentiality of employee and benefits data
  • HR management systems experience preferred, although full training will be provided
